If you invoice businesses in Europe, you've probably seen the word PEPPOL more and more. Here's what it means in plain language, and what actually changes for you.

What PEPPOL is

PEPPOL (Pan-European Public Procurement OnLine) is a standardised network that lets businesses exchange documents — mostly invoices — directly between their software, without email or PDF. Think of it like the banking network, but for invoices: you don't need to know the recipient's system, only their PEPPOL address.

The invoice travels as structured data (UBL XML, built on the EN 16931 European standard), so it lands in the recipient's accounting system already typed and validated.

PDF vs e-invoice — the real difference

A PDF is a picture of an invoice. A human still has to read it and type the numbers in. A true e-invoice is data: the receiving software books it automatically. That difference is exactly why governments are mandating it — less fraud, less manual entry.

What changes for you

Honestly, less than you'd think:

  • You still create an invoice the normal way.
  • Instead of "download PDF and email", you choose Send → PEPPOL.
  • Your software builds the structured file, validates it, and delivers it.

The one new concept is the participant ID — your address on the network. You register it once (in Belgium it's based on your KBO/BCE number) and then forget about it.
