Getting started

What is Eurobillr?

A web-based invoicing & light accounting platform built for European freelancers and SMEs. It bundles invoicing, expense tracking, VAT reports, multi-currency, payment reminders and PEPPOL-certified e-invoicing in one place.

Who is Eurobillr for?

Freelancers, sole proprietors and small companies in Belgium, the Netherlands, France, Germany, Spain, Luxembourg and the wider EEA who need EU-compliant invoicing without buying a heavy ERP.

Do I need to install anything?

No. Eurobillr runs in the browser. You can save it to your home screen on iOS / Android and use the camera-based receipt scanner from there.

Which interface languages are supported?

English, Dutch, French, German and Spanish. Arabic and Hebrew are supported for invoice rendering (right-to-left PDF) — choose the language per-invoice from the editor.

How long does setup take?

Under five minutes for the typical freelancer: workspace, VAT id, IBAN, brand logo. PEPPOL registration takes another minute on top.

Can I import data from another tool?

Yes — bulk CSV import for clients (Clients → Import CSV), and an OCR-based PDF importer that reads your legacy invoices and supplier bills (upload a PDF or image and we extract the fields).

Plans, billing & refunds

Is there a free plan?

Yes — Free includes 5 invoices/month, 1 user and limited PEPPOL. No credit card required to start.

Can I switch plans at any time?

Yes. Upgrades take effect immediately and are pro-rated. Downgrades take effect at the end of the current billing period.

How do I cancel?

Settings → Subscription → Cancel. Cancellation takes effect at the end of the current period; your data stays accessible during a 30-day grace window.

Do you offer refunds?

EU consumers benefit from a 14-day right of withdrawal under Directive 2011/83/EU before they start using paid features. Otherwise fees already paid are non-refundable, except where mandatory law applies or we explicitly agree.

Do you charge VAT on the subscription?

Yes for Belgian customers (21%). For intra-EU B2B with a valid VAT id we apply reverse-charge and invoice without VAT.

Which payment methods do you accept for the subscription?

Through Stripe Checkout: credit/debit card, plus local methods such as SEPA Direct Debit, Bancontact and iDEAL where Stripe offers them for your country.

PEPPOL & European e-invoicing

What is the difference between an e-invoice and a normal PDF invoice sent by email?

A normal invoice is a human-readable document — usually a PDF you email or download. The recipient has to read it, type the data into their own accounting tool, and reconcile it manually. An e-invoice (PEPPOL BIS, FatturaPA, XRechnung, Chorus Pro …) is a structured XML document that flows machine-to-machine through a certified network: the recipient's software imports it automatically, with VAT, line items and bank details already typed and validated. E-invoicing is mandatory for B2G in most of the EU and becomes mandatory for B2B in Belgium from January 2026, in Germany progressively from 2025-2028, and in Italy already today. Plan-wise: PDF + email works on every plan; PEPPOL/SDI/XRechnung/Chorus Pro dispatches require a plan that includes the e-invoicing console (Starter "limited" up to a monthly cap, Small / Growing "full" with no cap).

What is PEPPOL?

A pan-European network for exchanging structured electronic documents (UBL EN 16931). Once both parties have a PEPPOL identifier, invoices flow directly from accounting tool to accounting tool — no email, no PDF.

Is e-invoicing mandatory in Belgium?

Yes for B2B from January 2026 (KB of 14 March 2024). Eurobillr is registered as a PEPPOL access point and is ready for the deadline.

Which networks do you support?

PEPPOL BIS (BE / NL / LU / EU default), Italian SDI (FatturaPA), German XRechnung (ZRE / OZG-RE) and French Chorus Pro (CIUS-CP UBL via PISTE).

How do I register on PEPPOL?

In Settings → PEPPOL: confirm your VAT id, accept the access-point terms, and we register the identifier on your behalf. Usually live in under two minutes.

What if my customer is not on PEPPOL yet?

We auto-detect their PEPPOL availability from their VAT id. If they are not registered we fall back to email + PDF (with the UBL XML attached for downstream import).

Do you guarantee delivery?

No software can. Once a document is accepted by our certified access point, downstream delivery depends on the recipient gateway and government platform. We surface every status update and persist a full audit trail.

Can I receive supplier invoices through PEPPOL?

Yes. Inbound documents land in Expenses → Inbox already parsed. You can mark them paid, push them to your accountant or schedule a SEPA payment.

Which UBL profile do you emit?

EN 16931 PEPPOL BIS Billing 3.0 by default. The country-specific consoles use FatturaPA 1.2.x, XRechnung 3.0.x and Chorus Pro CIUS-CP UBL.

Invoicing & quotes

Which document types can I create?

Invoices, credit notes, pro-forma invoices and quotes. Quotes can be converted to invoices in one click; credit notes are linked to the original invoice.

Can I send invoices in Arabic or Hebrew?

Yes — the invoice editor has a "Document language" picker. Arabic and Hebrew render through a dedicated right-to-left PDF template with proper bidi handling for IBAN, dates and amounts.

Can I customise the PDF template?

Yes. Logo, brand colour, accent colour, footer text and payment instructions are workspace-level. Per-invoice notes and footer override the workspace defaults.

Recurring invoices?

Yes. Daily, weekly, monthly, quarterly or yearly. Drafts are generated for review and dispatched automatically (or held for confirmation) according to your preference.

How do I issue a credit note?

Open the invoice → Actions → Credit note. Eurobillr clones the lines (negated), links the documents, and tags the credit note for VAT-return reconciliation.

Can I attach files (PO, signed quote, …)?

Yes. Files are sent as email attachments and embedded as additional documents in the UBL when the recipient gateway supports it.

Can I number invoices my own way?

Yes. Set a prefix and starting number per document type and per year in Settings → Numbering. We enforce gap-free sequences for VAT compliance.

Payments & reminders

Which payment providers are supported?

Stripe (cards, SEPA, Apple Pay, Google Pay), Mollie (iDEAL, Bancontact, Klarna), PayPal, and bank transfer with structured reference.

What is the SEPA QR code on my invoice?

A scannable EPC QR that pre-fills your customer's banking app with IBAN, amount and reference. It removes 90% of typing errors and accelerates payment.

Can I send automatic payment reminders?

Yes — pre-due (3 / 7 days before), overdue follow-ups (configurable cadence) and a final notice. The Paid status is set automatically when payment is reconciled.

Late fees and interest?

Configurable per workspace and per client. We compute statutory late-payment interest under the Belgian B2B Act (Wet 2 augustus 2002) when applicable.

Can I record partial payments?

Yes. Each payment is logged with date, method and amount; the invoice moves through Draft → Sent → Partial → Paid automatically.

VAT & tax reports

Which VAT modes are supported?

Standard, zero-rated, reverse-charge (intra-EU B2B), tax-exempt, intra-community supply (Art. 138) and export outside the EU. Each mode tags the invoice for the right UBL/PEPPOL profile.

Can Eurobillr file my VAT return?

Yes for Belgium via Intervat: we pre-fill boxes 00–91 from your invoices and expenses; you review and submit. For NL/FR/DE/ES we generate the equivalent CSV/XML the accountant uploads.

OSS (one-stop shop) for B2C distance sales?

Yes — the OSS report (Reports → OSS) groups your cross-border B2C sales by destination country with that country's standard VAT rate, giving you the figures for the quarterly OSS return. Applying the destination rate at invoice time and OSS registration stay your responsibility.

Listing of intra-EU clients (recapitulative statement)?

Yes. The intra-community listing is generated from the invoices flagged Art. 138 and exported in the format required by your tax authority.

Expenses, receipts & OCR

How does receipt scanning work?

Take a photo or drop a PDF/image into the Expenses Inbox. We extract vendor, dates, totals, VAT and line items in seconds. Confidence is shown per field — always confirm before saving.

Why does the app ask for camera permission?

Only to capture a receipt photo on demand. We never record video in the background. Raw frames are not retained after the OCR step.

Are my receipts used to train AI models?

No. We do not use customer content to train third-party machine-learning models without your explicit prior consent.

Mileage tracking?

Yes — Expenses → Log mileage takes a distance and a per-km rate (pre-filled with a commonly used rate for your country) and saves the trip as a normal expense, so it appears in every report and export.

Multi-currency

Which currencies do you support?

All ISO 4217 currencies. The workspace has a default currency, and each invoice / expense / line can override it.

How are exchange rates handled?

We fetch daily ECB reference rates and store the rate that applied on the issue date, so historical reports stay reproducible. You can override the rate per document.

Can I report in my base currency even if I invoice in USD?

Yes. Reports always roll up to the workspace base currency through stored base_amount columns; the original currency stays visible on the document.

Security, privacy & GDPR

Where is my data hosted?

In EU-region data centres (Belgium / Germany / Netherlands depending on plan). We do not transfer personal data outside the EEA without GDPR-equivalent safeguards (SCCs).

Is my data encrypted?

Yes — TLS 1.2+ in transit, AES-256 at rest for backups and uploads. Passwords are hashed with Argon2.

Two-factor authentication?

Yes — TOTP (Google Authenticator, 1Password, Authy) and recovery codes. Workspaces on Small or higher can enforce 2FA for all members.

Can I export all my data?

Yes, at any time from Settings → Account: JSON dump of every workspace entity plus PDFs of every issued document.

How do you handle data deletion?

Account deletion triggers a 30-day grace window, then erasure within 60 days, except for accounting records that we must retain for 7 years under Belgian tax law.

GDPR compliance and DPA?

We are GDPR-compliant by design. A signed Data Processing Agreement is available on request from privacy@eurobillr.com.

Is there an audit log?

Yes — every create / update / delete on invoices, expenses and clients is recorded with user, timestamp and IP for 12 months.

What happens if there is a data breach?

We notify the supervisory authority within 72 hours and notify affected users without undue delay where the breach is likely to result in a high risk, in line with Art. 33–34 GDPR.

Team, workspaces & permissions

Can I add team members?

Yes — invite by email. Roles: Owner, Admin, Member, Viewer, Accountant (read-only access scoped to the books).

Can I run multiple businesses from one account?

Yes. One user can be a member of several workspaces with different roles. Switch from the topbar.

Single sign-on?

Sign in with email and password (with optional two-factor), or with Google / Microsoft single sign-on when it has been enabled for the platform. SAML SSO is on our roadmap.

Integrations & API

Which accounting tools do you integrate with?

Live two-way sync with Xero, QuickBooks Online and Odoo, plus CSV/file export in DATEV, Xero, QuickBooks, Exact Online, Sage and a generic accountant format.

Bank reconciliation?

Yes — upload a CAMT.053 or MT940 bank statement (Invoices → Import bank statement) and we match incoming payments to your open invoices by structured reference, invoice number or amount, for you to confirm. Live PSD2 open-banking sync is on our roadmap.

Is there a public API?

We receive secure webhooks from our payment and PEPPOL providers, and a JSON endpoint powers the mobile contract flow. A full public REST API with personal access tokens is on our roadmap.
