Export Your Invoices and Expenses to CSV: Complete Guide for Belgian Businesses

CSV (Comma-Separated Values) export is one of the most versatile tools in financial management. It lets you take your Eurobillr data — invoices, expenses, payments — and use it in Excel, Google Sheets, your accountant's software, or any other tool you need. Here's everything that's available to export and how to use it effectively.

What You Can Export to CSV in Eurobillr

Invoice Export CSV

Export all your outgoing invoices for any period with these fields:

  • Invoice number and date
  • Due date and payment status
  • Client name and VAT number
  • Invoice language and currency
  • Amount excl. VAT per VAT rate
  • VAT amount per VAT rate
  • Total amount incl. VAT
  • Payment date and payment method (if paid)
  • PEPPOL delivery status
  • Credit note reference (if applicable)

Expense Export CSV

Export all your expenses for any period with these fields:

  • Expense date and entry date
  • Vendor name and VAT number
  • Category and subcategory
  • Description
  • Amount excl. VAT, VAT rate, VAT amount, total incl. VAT
  • Deductibility percentage (100%, 69%, 75%, etc.)
  • Net deductible amount after deductibility
  • Payment method and reference
  • Document type (PEPPOL invoice, scanned receipt, manual entry)
  • Receipt document link

VAT Summary CSV

A quarterly VAT summary export with:

  • Total taxable revenue per VAT rate (0%, 6%, 12%, 21%)
  • Total VAT collected per rate
  • Total deductible expenses per VAT rate
  • Total recoverable VAT per rate
  • Net VAT position (payable or refundable)

This maps directly to the boxes of the Belgian VAT return form.

How to Export in Eurobillr

  1. Go to Invoices or Expenses
  2. Set your date filter (quarter, year, or custom range)
  3. Click Export → CSV
  4. The file downloads immediately — no waiting, no email

Using the CSV for VAT Return Preparation

The expense CSV maps directly to the recoverable VAT fields of your Belgian VAT return. Sort by VAT rate, sum the VAT amounts, and you have your input VAT figures ready. Eurobillr's pre-filled VAT return already does this calculation — but the CSV is useful if your accountant prepares the return in their own software.

Using the CSV for Business Analysis

Beyond tax purposes, the CSV export enables business analysis:

  • Revenue by client — pivot the invoice CSV to see which clients generate most revenue
  • Expense by category — identify your largest cost categories and spot savings
  • Payment performance — average days to payment by client, identify late payers
  • Monthly revenue trend — chart your revenue growth over time

CSV for Accountant Software Import

Eurobillr's CSV format is designed to be importable into Belgian accountant software. Common workflows:

  • Winbooks / Sage BOB — import the invoice CSV into the sales journal directly
  • Exact Online — use the expense CSV to batch-enter purchase invoices
  • Excel / Google Sheets — your accountant builds their own pivot analysis from the raw data
